Essential Terms & Conditions
For London Corporate Cabs
Effective January 2026. These terms govern all bookings, corporate hires, events, and production contracts with London Corporate Cabs.
01. Booking & Performance
These terms and conditions, alongside our web-based booking confirmation, constitute the entire legal Agreement between the client ("you") and London Corporate Cabs ("LCC", "we", "us") for private hire and production services. Completion of a booking or use of our services indicates unconditional acceptance of this Agreement.
Punctuality & Routes: While LCC strives for absolute punctuality, time is not the "essence of the contract." We accept no liability for missed flights, train connections, ceremonies, or business delays caused by traffic conditions, road closures, diversions, or adverse weather. Journeys will be executed via the route determined by the driver's professional training or the agreed fixed-price itinerary; any mid-journey route modifications requested by the client may incur additional metered or fixed charges.
Capacity & Wheelchairs: Clients must select a vehicle size appropriate for their passenger count and luggage volumes. All licensed London Black Cabs are strictly limited by Transport for London (TfL) conditions to a maximum of 6 passengers in the rear compartment. A child of any age counts legally as one passenger. We cannot guarantee transit for excessive luggage exceeding standard vehicle limitations. If wheelchair access is required, this must be explicitly detailed at the time of booking.
Waiting Time & No Shows:
- Airport Transfers: Bookings include a 30-minute waiting period starting from the advertised flight landing time, alongside airport parking entry costs. Waiting time beyond 30 minutes will be charged at £5.00 per 15-minute increment. LCC will monitor flights for delays where practicable but retains no statutory obligation to do so.
- Standard Hires: Bookings include a 15-minute grace period. Beyond this, waiting time accrues at our standard hourly rate. If the client is absent after 30 minutes with no contact established, the booking is logged as a "No Show" and the full fare remains payable.
Fulfillment: LCC reserves the right to employ fully licensed, vetted sub-contractors or partner agencies to fulfill any booking sequence when operational needs dictate. All partners will adhere to identical service and quality standards.
02. Wedding Terms & Breakdowns
Vehicle Substitution & Liability: In the highly unlikely event of a mechanical failure or sudden unavailability of a classic Heritage vehicle, LCC will automatically supply the closest visual alternative available (typically a modern Electric TX unit) and issue a partial refund covering the baseline price differential. LCC's absolute financial liability is capped strictly at this refund value; we accept zero liability for delayed ceremonies, missed receptions, or consequential emotional distress.
Quotations & Deadlines: All wedding quotations are emailed based on specific routing logs provided by the client. Quotes for Modern Electric TX, White, or Silver bridal cabs remain valid for up to 14 days. Due to exceptional demand and scarcity, quotes for classic Fairway models are valid for a maximum of 7 days. LCC operates on a strict first-come, first-served basis and reserves the right to withdraw unconfirmed quotes at any time based on vehicle availability. A mandatory minimum charge of £160.00 applies to all wedding allocations to offset deep valeting and offline vehicle routing blocks.
Deposits & Balances: A non-refundable £25.00 deposit is required immediately upon receipt of your booking confirmation to secure your vehicle allocation. Failure to clear this deposit authorizes LCC to cancel the hold. The remaining balance must be paid in full no later than 14 days prior to the wedding date. Failure to settle the final balance on time results in immediate cancellation and forfeiture of the deposit.
Overruns & Range Limits: Base wedding rates apply within the Greater London area. Journeys crossing outside this radius must be approved in writing and will incur supplementary mileage assessments. If the wedding schedule overruns past the originally contracted block, the hire period is not automatically extended. Continued driver presence remains subject to operational capacity, and overrun time will be invoiced post-event as a full, non-pro-rated hour at £50.00/hr (Modern TX) or £70.00/hr (Heritage), payable within 14 days.
03. Filming & Production
LCC operates in total alignment with the Metropolitan Police Service (MPS) and Film London guidelines for filming on the move. Vehicles possess 5 rear passenger seats and 1 driver seat; under no circumstances will more than 5 production crew or actors occupy the passenger compartment. No person other than the licensed LCC driver may occupy the driver's compartment while the vehicle is in motion.
Production Delay Notices: Vehicles are scheduled to arrive on set 10 to 15 minutes prior to the contracted start time to review director briefs and logistical safety parameters. If production needs to delay the arrival time, LCC must be notified at least 4 hours before the original booking time. Failure to provide this notice results in billing commencing strictly from the original call time.
Driver Authority & Overruns: The LCC driver retains absolute legal and structural authority over the physical vehicle. The driver will immediately veto any stunt, maneuver, or request that violates TfL private hire regulations, the Road Traffic Act, or MPS frameworks. Filming overruns past the contracted wrap window are charged in 30-minute increments at our standard hourly rates and remain entirely subject to driver availability; if onward booking commitments exist, the vehicle must be released immediately.
Rigging, Liveries & Damage: All exterior production rigging (including suction mounts, hostlers, and lighting brackets) or custom branding/vinyl wrapping must be executed by certified, professional grips or approved installation agencies. Agencies must provide written proof of comprehensive insurance covering the vehicles prior to installation. The client assumes sole financial liability for any damage to factory paintwork, body panels, mechanical components, or specialized glass caused by rigging, wraps, or crew actions. This includes full coverage of professional restoration costs and a "Loss of Hire" penalty rate for every day the vehicle is out of commercial service due to repairs.

Right to Refuse & Terminate: LCC enforces a zero-tolerance policy regarding physical or verbal abuse, violence, or threatening behavior directed toward our drivers or assets. The driver reserves the absolute right to refuse entry or terminate any journey mid-route if the safety of the vehicle or driver is compromised by any passenger. In the event of a safety termination, passengers will be requested to exit at the nearest safe location, the full fare remains payable, and no refunds will be issued.
Substances & Smoking: Smoking and the use of illegal narcotics are strictly prohibited within all vehicles at all times. Violation results in immediate termination of the hire without refund. The consumption of alcohol is not permitted while the vehicle is in motion. The use of vaporizers/e-cigarettes is subject entirely to the individual driver’s discretion.
Child Safety Infrastructure: In strict compliance with UK road legislation, licensed taxis are legally exempt from standard child car seat mandates. For health, safety, and liability reasons, LCC cannot supply child seats or booster systems. Parents or guardians assume full responsibility for supplying and physically fitting their own child safety seats within the passenger compartment. For confirmed return itineraries, our drivers may store your child seats in the luggage area at your own risk.
Statutory Fines & Soiling: If a fixed Penalty Charge Notice (PCN), parking fine, or moving traffic violation ticket is issued to the driver as a direct consequence of a explicit routing or stopping directive from the client, the client assumes complete liability for the cost of the fine plus a mandatory £20.00 administration fee. Per TfL regulations, a structural £60.00 soiling charge applies immediately for any bodily fluid or material fouling within the vehicle. Physical damage to upholstery or hardware will be invoiced at full professional restoration rates.
05. Cancellation & Refund Policy
Definition of Dispatch: "Dispatch" marks the point at which an asset is blocked from alternative scheduling, prepared via valeting, or begins transit to your location. For production filming, dispatch occurs 2 hours prior to call time. For airport transfers, dispatch occurs 1 hour prior. For specialized Sports Event Travel, a non-refundable £25.00 deposit is captured at booking, with zero cancellation refunds permitted inside a 24-hour window from travel initiation.
| Service Type | Cancellation Window | Policy / Charge Details |
|---|---|---|
| Wedding Hire | Greater than 14 days | Full refund of balance (Deposit excluded) |
| Wedding Hire | Less than 14 days | No refund (Full contract balance remains due) |
| Filming / Production | Pre-Dispatch (Greater than 2hrs) | No charge |
| Filming / Production | Post-Dispatch (Less than 2hrs) | Mandatory 1-Hour Service Charge (60.00) |
| Airport Transfers | Pre-Dispatch | 5% processing fee levied on booking total |
| Airport Transfers | Post-Dispatch (Less than 1hr) | Full contracted fare remains payable |
Disputes & Refund Windows: To establish eligibility for a full or partial refund relative to a service issue, a formal dispute must be lodged via email within 7 business days of the completed service date. If an internal audit upholds the claim, refunds will be credited to the client's verified bank account within 28 business days.
06. Liability & Governing Law
Financial Limits: LCC’s maximum collective financial liability under any interpretation of contract law, tort, negligence, or statutory duty is limited strictly to the total price paid by the client for that specific booking code. Under no circumstances shall LCC be held liable for any indirect loss, loss of commercial profit, production delays, business continuity failure, or consequential expenses whatsoever. All customer luggage, equipment, and personal effects are carried entirely at the owner's risk.
Tolls & Taxes: Modern Ultra-Low Emission (LEVC) electric taxi units are exempt from Central London Congestion Charges. Traditional classic Heritage taxis are not exempt; any associated access fees will be calculated and appended to the final quotation sheet. All payments executed via corporate invoice are due within 14 days of issue and carry a standard processing administration fee. Film hire invoicing occurs immediately upon production block conclusion. All telephone or emailed payment link credit/debit card transactions carry a 3% administration fee; secure in-cab card chip-and-pin processing carries zero surcharges. Bank transfers must clear our accounts at least 7 days before service commencement.
Tax & Data Privacy: London Corporate Cabs operates under a certified Sole Trader structure and does not charge or collect VAT. All personal user data, location records, and contact metrics are securely stored and processed in absolute compliance with the UK Data Protection Act 2018 and UK GDPR frameworks.
Third-Party Rights & Jurisdiction: Nothing within this contract provides explicit legal benefits or enforcement capacities to any third party under the Contracts (Rights of Third Parties) Act 1999. This agreement shall be governed by, interpreted by, and construed exclusively in accordance with the laws of England and Wales, with both parties submitting to the exclusive jurisdiction of the English Courts.
07. Force Majeure
London Corporate Cabs shall not be held liable or responsible for any total service failure, timeline disruption, or delivery delay caused directly or indirectly by events outside our reasonable sphere of control. This includes, but is not limited to: structural acts of God, civil unrest, riots, military action, fire, regional flooding, storms, fuel shortages, labor strikes, acts of terrorism, national emergencies, governmental mandates, sudden road closures, or official emergency police instructions.
